Same arithmetic, different promise

Contractors ask whether a quote template is a different document from an estimate template. On this site it is measurably not: the builder above runs one document model, and only 6 of its 27 fields have any effect on the total — tax rate, markup, discount type, discount, qty, rate. The remaining 21 describe, label, date and bound the work. The word at the head of the page sits in that second group.

That is not a reason to treat the two as interchangeable — it is the reason to be careful. Nothing in the software stops you turning an estimate into a quote, because nothing in the arithmetic can tell the difference. The difference is entirely in what the client may hold you to, and it is carried by one word plus the exclusions and the validity date around it. The four things that make a construction quote survivable

A scope tied to documents. Reference the drawings and specifications by date or revision. “As per plans” with no revision named means you have quoted whichever version the client chooses to remember.

Exclusions on the face of it. Permits, engineering, rock excavation, abatement, utility charges, landscaping. Every one of those has sunk a residential quote that was otherwise priced correctly, and each one is a single line of text now versus an argument later.

Allowances stated as fixed sums. Carry the number, then say in writing that a selection above it is priced by change order before it is ordered. Allowances are where a fixed-price job quietly becomes a cost-plus job with no upside.

An expiry date. It defaults to 30 days out here. It is what lets you re-price without embarrassment when a supplier moves: the client did not lose a discount, the quote simply lapsed.

Quoting a client, bidding an invitation, pricing a change

These are three documents and contractors routinely send the wrong one. A quote goes to a client who came to you: firm price, your exclusions, your validity window. A construction bid goes into a competitive process against someone else’s bid form, held open for a stated period and judged line against line. And once the job is awarded, every scope change gets a change order signed before the crew touches it — never a re-issued quote, which erases the record of what was agreed the first time.

Should I send a construction quote or a construction estimate?

Quote what you can see and control — a defined scope on drawings you have read, with materials you have priced. Estimate anything that depends on what is behind the finish or under the slab. A quote is a firm offer you can be held to; an estimate is an informed forecast. On a renovation, quoting a scope you have not opened up is how contractors end up building the difference for free.

What should a construction quote exclude?

Write the exclusions on the face of the document, not in the covering email. The usual list: design and engineering, permit and impact fees, rock or unsuitable-soil excavation, hazardous-material abatement, utility connection charges, landscaping, and anything an inspector adds beyond the documents quoted. How do allowances work on a quote?

An allowance is a fixed sum carried for a selection the client has not made yet — tile, fixtures, finishes. State it as a fixed sum on its own line, and say in the notes that a selection above the allowance is priced by change order before it is ordered. Without that sentence an allowance is just an underpriced line you agreed to.

How long should a construction quote stay valid?

Put an expiry on it and keep it short when material prices are moving. This template fills the validity date in 30 days ahead by default and prints it at the top. A quote with no expiry is a price you have agreed to honour indefinitely, through whatever your suppliers do next.

Can I split materials and labor on the quote?

Yes, and on construction work you should. Suppliers and crews move independently, so when one side shifts you can point at the lines that moved instead of reopening the whole number. The sheet above loads with both sections filled in.
